Manage Access to Data Based on Ledgers

NoetixViews for Oracle Assets, Oracle U.S. Federal Financials, and Oracle General Ledger provide configurable access to data in Assets, U.S. Federal Financials, and General Ledger. The About Access to Ledger Data topic in this section discusses about the support for data security based on ledgers and budget access levels in NoetixViews, and the Define Security Based on Ledgers topic discusses about how to customize the security settings for the Noetix query users based on ledgers and budget access levels.

NOTE: In accordance with the changes made in Oracle E-Business Suite Release 12, all references to the term “set of books” have been replaced with “ledger” .

About Access to Ledger Data

In NoetixViews, Noetix query users can access data from the Noetix views for Assets, U.S. Federal Financials, and General Ledger based on the roles and row-level security assigned to them. All forms of the views for these modules allow users to access data based on ledgers. For the data in the views of these modules, row-level security is determined based on the organizational unit and application-specific securities assigned to the Noetix query users in Oracle E-Business Suite. The organizational unit controls the Noetix query users' access to the ledgers defined in Oracle E-Business Suite. The application-specific security is applied over the organizational unit security to further restrict the Noetix query users' access to ledgers. NoetixViews supports organizational unit security that allows Noetix query users to access data from the Noetix views for Assets and General Ledger based on the ledgers assigned to the users. Also, NoetixViews supports organizational unit and application-specific securities that allow Noetix query users to access data from the Noetix views for U.S. Federal Financials based on the ledgers and budget access levels assigned to the users. For the global form of the Noetix views for Assets and General Ledger, NoetixViews provides a functionality to override the organizational unit specific security for customizing the Noetix query users’ access to ledgers. For all the forms of the views for U.S Federal Financials, you can override both the organizational unit and application-specific securities to customize the Noetix query users’ access to ledgers.

Define Security Based on Ledgers

In Noetix Views Administrator (NoetixViews Administrator), use the Ledger tab (for Oracle E-Business Suite Release 12 and later) or Set of Books tab (for Oracle E-Business Suite versions prior to Release 12) to do one or more of the following:

  • Control access to data in the global form of Noetix views for Assets and General Ledger based on ledgers for a Noetix query user.

  • Control access to data in the standard, Cross Operations Extension (XOP), and global forms of Noetix views for U.S. Federal Financials based on ledgers for a Noetix query user. In some Noetix views for U.S. Federal Financials, access to data can be controlled at both ledger and budget access levels.

NOTE: The tab, list, and column labels change dynamically based on the version of Oracle E-Business Suite at your site. For Oracle E-Business Suite versions prior to Release 12, the labels appear as Set of Books. For Oracle E-Business Suite Release 12 and later, the labels appear as Ledger.

The Ledger tab (for Oracle E-Business Suite Release 12 and later) or Set of Books tab (for Oracle E-Business Suite versions prior to Release 12) will be available only if:

  • You have purchased the global form of Noetix views for Assets.

  • You have purchased the global form of Noetix views for General Ledger.

  • You have purchased the standard, XOP, or global forms of Noetix views for U.S. Federal Financials.

  • You are not modifying the Oracle Administrative Database User (Type O).

IMPORTANT: When assigning row-level security to Noetix query users using the Ledger tab (for Oracle E-Business Suite Release 12 and later) or Set of Books tab (for Oracle E-Business Suite versions prior to Release 12), the following points should be noted:

  • For allowing Noetix query users to view data from the Noetix views for the selected Oracle application, appropriate roles corresponding to the selected ledgers/sets of books should be assigned to the users.

  • In Oracle Discoverer and Noetix WebQuery, user authentication based on the roles and row-level security settings similar to Oracle E-Business Suite is supported. For information, see About Data Security in NoetixViews.  

  • In Oracle Business Intelligence (Oracle BI), SAP BusinessObjects, and IBM Cognos Business Intelligence (Cognos BI), user authentication based on the roles and row-level security settings is supported for only the Oracle E-Business Suite Authenticated User (Type A) type Noetix query users if the query users are mapped to the users registered in these BI tools. To control access to data in Noetix views based on ledgers/sets of books

  1. On the Noetix Query User Maintenance tab of the Security Manager dialog box, select the user for whom you want to customize access to data. For information about creating or modifying a user account, see  Create a Noetix Query User Account or Modify a Noetix Query User Account. Click Edit. The <Noetix query user> Properties dialog box appears. If you are creating the Noetix query users for the first time, skip this step, and go to step 2.

  2. Click the Ledger tab (for Oracle E-Business Suite Release 12 and later) or Set of Books tab (for Oracle E-Business Suite versions prior to Release 12).

  3. In the Application list, click an application name. The options are Assets, Federal Financials, and General Ledger. After you select the application, the corresponding settings appear in the Settings for the <application name> application section.

  1. In the Settings for the <application name> application section, select one of the following options:

    • Derive from Oracle EBS: Click this option to grant access to ledgers/sets of books based on the security settings of the Noetix query user in the selected Oracle application. This option is available only if the Noetix query user is of the Oracle E-Business Suite Authenticated User (Type A) or Oracle E-Business Suite Authenticated Responsibility (Type R) type. For more information on users and roles, see About Noetix Query Users and Roles.

      This is also the default option for these users. The ledgers/set of books that the user has access to are displayed in the Ledgers list (for Oracle E-Business Suite Release 12 and later) or Set of Books list (for Oracle E-Business Suite versions prior to Release 12). If you click this option for the Federal Financials application, the ledgers/sets of books that the user has access to are displayed on the Ledgers list (for Oracle E-Business Suite Release 12 and later) or Set of Books list (for Oracle E-Business Suite versions prior to Release 12). The budget levels assigned to the user for each ledger/set of books are displayed in the Budget Access Levels list on the right. When this option is selected, the data on the lists cannot be modified. Go to step 7 to save the changes.

      NOTE: If multiple users are selected, the Ledgers list (for Oracle E-Business Suite Release 12 and later) or Set of Books list (for Oracle E-Business Suite versions prior to Release 12) will display the "<multiple users selected>" text for this option.

    • Custom: Click this option to grant access to a custom list of ledgers/sets of books. After you select this option, the Add button will be available below the Ledgers list (for Oracle E-Business Suite Release 12 and later) or Set of Books list (for Oracle E-Business Suite versions prior to Release 12). By default, this option is selected for users of the Noetix System Administration User (Type N) and Database User (Type U) types. For the Federal Financials application, click this option to specify ledgers/sets of books and budget access levels for Noetix query users and grant them custom access to U.S. Federal Financials views. For information about specifying a custom list of ledgers/sets of books and associated budget access levels for Noetix query users, see steps 5 and 6 respectively.

    • All: Click this option to assign all the ledgers/sets of books in the selected Oracle application to the Noetix query users. The ledgers/sets of books are displayed in the Ledgers list (for Oracle E-Business Suite Release 12 and later) or Set of Books list (for Oracle E-Business Suite versions prior to Release 12). For the Federal Financials application, click this option to assign all the ledgers/sets of books and the associated budget access levels to the Noetix query users. The ledgers/sets of books are displayed in the Ledgers list (for Oracle E-Business Suite Release 12 and later) or Set of Books list (for Oracle E-Business Suite versions prior to Release 12). The budget levels associated with each ledger/set of books are displayed in the Budget AccessLevels list. When this option is selected, the data on the lists cannot be modified. Go to step 7 to save the changes.

NOTE: If you change the security mode options assigned to a user after assigning custom flexfield security rules in the Security Rules tab, a message indicating that the flexfield security rules settings assigned to the user will be removed is displayed. Click Yes or No according to the requirement.

If the data access privileges of the Noetix query users of the Oracle E-Business Suite Authenticated User (Type A) type or Oracle E-Business Suite Authenticated Responsibility (Type R) type change in Oracle E-Business Suite or if row-level security changes have been made in Oracle E-Business Suite, click Refresh Security () on the toolbar of the NoetixViews Administrator to update the changes in NoetixViews. For more information, see Refresh Security for Noetix Query Users.

NOTE: When you click the Refresh Security button, a message is displayed stating that the process of refreshing the security may take some time.

  1. To specify a custom list of ledgers/sets of books, do the following:

    1. Click Add below the Ledgers list (for Oracle E-Business Suite Release 12 and later) or Set of Books list (for Oracle E-Business Suite versions prior to Release 12). The Add Ledgers (for Oracle E-Business Suite Release 12 and later) or AddSet of Books (for Oracle E-Business Suite versions prior to Release 12) dialog box displays the list of ledgers/sets of books that are available in the selected Oracle application and that are yet to be added to the Ledgers list (for Oracle E-Business Suite Release 12 and later) or Set of Books list (for Oracle E-Business Suite versions prior to Release 12).

      The following columns and options are available in the Add Ledgers (for Oracle E-Business Suite Release 12 and later) or Add Set of Books dialog box (for Oracle E-Business Suite versions prior to Release 12):

    • Show only current user’s Oracle EBS-derived access: Allows you to view only the ledgers/sets of books that are accessible to the Oracle E-Business Suite Authenticated User (Type A) or Oracle E-Business Suite Authenticated Responsibility (Type R) type user in the selected Oracle application. If you do not select this check box, you can see all the ledgers/sets of books available in the selected Oracle application. This check box is available for only the Oracle E-Business Suite Authenticated User (Type A) type or Oracle E-Business Suite Authenticated Responsibility (Type R) type users.

    • Ledger/Set of Books: Indicates the name of the ledger/set of books.

      • Ledger ID/Set of BooksID: Indicates the ledger/set of books ID.

    • Chart of Accounts: Indicates the chart of accounts corresponding to the ledger/set of books.

    • COA ID: Indicates the chart of accounts ID.

      • Affected Noetix Roles: Indicates the Noetix roles that have access to the views corresponding to the ledger/set of books.

      • EBS-Derived: Indicates whether the user can access the ledger/set of books in the selected Oracle application.

Click a column title to sort the ledgers/set of books by the entity represented by the column.

NOTE: You need to scroll to the right to see all the information in a row. The width of columns in the list can be adjusted to see more if required. Select the line between columns in the header, and drag it to the required position. Also, the height and width of the dialog box can be resized by dragging the sides of the dialog box.

  1. Select the check boxes corresponding to the ledgers/sets of books that you want to assign to the Noetix query user. To select all the ledgers/sets of books, click Select All.

  2. Click OK. You will return to the Ledger tab (for Oracle E-Business Suite Release 12 and later) or Set of Books tab (for Oracle E-Business Suite versions prior to Release 12) with the selected ledgers/sets of books displayed in the Ledgers list (for Oracle E-Business Suite Release 12 and later) or Set of Books list (for Oracle E-Business Suite versions prior to Release 12).

NOTE: You need to scroll to the right to see all the information in a row. The width of columns in the list can be adjusted to see more if required. Select the line between columns in the header, and drag it to the required position.

  1. To remove a ledger/set of books from the Ledgers list (for Oracle E-Business Suite Release 12 and later) or Set of Books list (for Oracle E-Business Suite versions prior to Release 12), select the ledger/set of books, and click Remove. To select multiple ledgers/sets of books, press CTRL, and click the ledgers/sets of books.

  1. If you select Federal Financials from the Applications list in step 3, you can specify budget access levels for the ledgers/sets of books that you have added in step 5.

    To specify budget access levels for a selected combination of chart of accounts and ledger
    /set of books, do the following:

  1. In the Ledgers list (for Oracle E-Business Suite Release 12 and later) or Set of Books list (for Oracle E-Business Suite versions prior to Release 12), select a ledger/set of books. The Add button below the Budget Access Levels list becomes available.

  2. Click Add. The Add Budget Access Levels dialog box appears.

The following columns and options are available in the Add Budget Access Levels dialog box:

    • Show only current user’s Oracle EBS-derived access: Allows you to view only the budget levels assigned to the Oracle E-Business Suite Authenticated User (Type A) or Oracle E-Business Suite Authenticated Responsibility (Type R) type user in U.S. Federal Financials for the selected ledger/set of books. If you do not select this check box, you can see all the budget access levels for the ledger/set of books as defined in U.S. Federal Financials. This check box is available for only the Oracle E-Business Suite Authenticated User (Type A) type or Oracle E-Business Suite Authenticated Responsibility (Type R) type users.

      • Sequence: Indicates the sequence of the budget access level.

      • Name: Indicates the name of the budget access level.

      • EBS-Derived: Indicates whether the budget access level associated with the ledger/set of books is assigned to the user in U.S. Federal Financials.

Click a column title to sort the budget levels by the entity represented by the column.

NOTE: You need to scroll to the right to see all the information in a row. The width of columns in the list can be adjusted to see more if required. Select the line between columns in the header, and drag it to the required position. Also, the height and width of the dialog box can be resized by dragging the sides of the dialog box.

  1. Select the check boxes corresponding to the budget access levels that you want to assign to the Noetix query user. To select all the budget access levels, click Select All.

  2. Click OK. You will return to the Ledger tab (for Oracle E-Business Suite Release 12 and later) or Set of Books tab (for Oracle E-Business Suite versions prior to Release 12) with the selected budget access levels displayed in the Budget Access Levels list.

NOTE: You need to scroll to the right to see all the information in a row. The width of columns in the list can be adjusted to see more if required. Select the line between columns in the header, and drag it to the required position.

    1. Repeat steps a through d for each ledger/set of books.

  1. To remove a budget access level for a ledger/set of books from the Budget Access Levels list, select a ledger/set of books from the Ledgers list (for Oracle E-Business Suite Release 12 and later) or Set of Books list (for Oracle E-Business Suite versions prior to Release 12), select the budget access level for the selected ledger/set of books, and then click Remove. To select multiple budget access levels, press CTRL, and click the budget access levels.

  1. Click OK on the <Noetix query user> Properties dialog box. You will return to the Noetix Query User Maintenance tab.

  2. Click OK on the Security Manager dialog box to save the changes to the database.
